Assistant Secretary

Job purpose
Provide administrative support to the Executive Director(s) secretariat. This will include secretarial duties e.g. diary management, document preparation, travel arrangements etc. Undertaking duties as delegated by the secretariat.
Responsibilities
Support for the secretariat to include:
Drafting of letters and word documents;Creation of PowerPoint presentations as required;Assisting with the collation and distribution of documents/reports;Assisting with the production of agendas, papers and reports, taking formal and informal minutes/action notes and distributing them as appropriate ensuring any actions are followed;Assisting in ensuring deadlines are achieved and activities are prioritised;Undertake typing, word processing of correspondence, documents, forms, agendas and reports as delegated by the secretariat;Dealing with visitors, answering calls/filtering calls, redirecting calls if urgent;Co-ordination of transport/accommodation bookings;Arrange meetings on behalf of the Director and management of their diary as delegated by the lead secretary/PA;Postal duties opening, distributing of incoming/outgoing post;Scanning, photocopying, faxing of documents;Managing stationary supplies- ensuring stock levels are maintained;Reviewing processes and offering suggestions for improvement;Any other duties commensurate with the role.Knowledge skills & experience
Experienced user of MS Word & PowerPoint (essential); Proficient user of MS Excel (essential); Experienced user of MS Outlook & Explorer (essential); Proficient typing skills e.g. RSA II/70 WPM (essential); Experience of working in a similar secretarial role within a busy office environment (essential); Experience of working within the construction industry (desirable).
