We are looking for an excellent Administrative Assistant.
This vacancy is a fixed term position for 6 months requiring flexibility in working hours.
The core hours will be 09.00am - 17.00pm
Duties for an Administrative Assistant are as follows but are not limited to:
INCOMING/OUTGOING POST/INTERNAL DELIVERIES
" Sort, open, process and distribute morning mail (DX and Royal Mail)
" Place newspapers in library/reception/the Deli
" Mail collection from work areas
" Arrange couriers
" Arrange hand deliveries/special deliveries/recorded deliveries
" Franking post
" Distribute mail/other deliveries as required to internal clients
PHOTOCOPYING/FINISHING PROCESSES
" Photocopying as required
" Binding documents
" Laminating documents
STATIONERY
" Tidying of stationery cupboards and store area
" Web ordering as required
" Receipt and storage of deliveries
" Re-stocking of all stationery cupboards
" Ordering and replacing of toners, imaging units and printer consumables
IT
" Scanning and inputting of new jobs using Microsoft outlook and Adobe Acrobat
" Scanning of Incoming Post and associated processes
" Scanning and printing of documents
" Password encryption and copying of CD/DVDs
" Distribute all incoming faxes using Microsoft Outlook / Right Fax software
" Web tracking of postal consignments as and when required
ARCHIVING/DEEDS
" Storage and retrieval of files and deeds
" Entering new records onto deeds database
OTHER DUTIES
" Daily checking of stationery stock for Office Services
" Reporting of equipment faults
" General housekeeping
" Assist with office moves as required
THE SUCCESSFUL ADMINISTRATIVE ASSISTANT ALSO REQUIRES
" 5 GCSE's Grades A-C or equivalent to include Maths and English
" Background as an Administrative Assistant.
" Background in a general office/postal distribution environment is desirable as is experience of working in a legal environment
" Basic IT literacy skills in Microsoft Office
" Exceptional customer service skills and a professional, positive can-do approach to tasks
" Demonstrate ability to multitask and prioritise a full workload under pressure.
" Good team working skills and a willingness to take responsibility for tasks.
" Good communication skills both verbal and written
" Excellent attention to detail and a high level of organisational skills
