Office Manager

CS Technology is seeking a highly motivated professional to work within the Sales and General Administration (SGA) team supporting the UK and reporting to the EMEA Business Manager.
Summary Responsibilities of Office Manager:
To manage the UK office environmentTo manage and administer the business support processesTo administer the personnel/HR functionTo provide Personal Assistance (PA) cover for the MD To manage the IT support services for the UK operationFunctional Responsibilities of Office ManagerManagement of th e UK Office
Ensure the office environment is appropriate to support the business functionProfessional environment is maintainedSupport services are functional (kitchen / toilets)Liaison with the building landlord to ensure services are maintained in line with rental agreements Management of office costs (control and negotiation)Physical security access control management to the building and be main keyholderManagement and administration of the business support processes
To ensure the data integrity of the Change Point (CP) systemTimesheets are entered accurately and on timeCheck points and approvals are executed by the appropriate personnel in a timely mannerCP user permissions, password administration and license control Compliance to business processTo ensure all staffs are aware of the individual responsibilities to the business processProduction and maintenance of CSTs business process user manualsStaff training including new starter inductionAdministration o f the HR function
Staff recordsSecure filing of all staff records (Contracts, letters, sick notes etc.)Update of salary records on Change PointTrainingStaff trackingAnnual leave (authorisation and record maintenance)Sick leave (record of notes, reclaim of national insurance etc.)Site location Out of officeStarters and leaversDevelopment and maintenance of starters process (induction, user guides etc.)Development and maintenance of leavers process (equipment retrieval, update of administration systems, access controls etc.)Incoming communications managementIncoming telephone calls are managed professionally and courteouslyand are passed on to their intended recipient in a timely mannerIncoming emails or general enquiries are managed and supported appropriately Personal Assistance cover for the MD and UK PrincipalsDiary managementMeeting co-ordinationAssistance with personal administrationManagement of the UK IT support servicesObtain high level understanding of the IT infr astructure and service applicationsEnsure that all IT infrastructures and service applications are appropriately supported, through a professional support agency or through CST staff. Liaison with US IT management function to ensure alignment and leverage remote support servicesSupport company mobile phone users setup and liaise with account manager to ensure costs are monitoredTo support accounts administrator and provide cover to finance processes.Skills and Experience of Office Manager
