Overall Purpose of Job
To provide first class Executive Assistant service to the CEO and support the effective running of the Executive Team
Confident at communicating effectively at Director level both with internal and external clients. Pro-active, efficient, organised and is able to work using their own initiative. Additionally, the ability to problem solve and juggle multiple tasks and to be one step ahead is essential. Implicit trustworthiness, as will be exposed to confidential information. Will need to work with multiple stakeholders inside and outside of the company.
Duties & Responsibilities
Duties & Responsibilities
Diary and Meeting Management
Work closely with colleagues to ensure comprehensive diary management for CEO and Executive team.
Organising internal and external meetings including booking meeting rooms, ordering food and necessary equipment (including specific ownership of CPW owned offsite venue).
Compile reports/papers in advance of meetings.
Work with external clients to arrange meetings and events.
Organise Executive Meetings and occasional Social Events for the team.
Director and Team holiday rota management.
Travel Management
Organise travel arrangements and accommodation for the CEOs needs (including some personal travel).
Liaise with other EAs if multiple Directors travelling.
Prepare travel itineraries.
Entertainment bookings.
Managing Correspondence:
Manage and respond to emails, manage all post, write and respond to letters, screen all phone calls and manage all voicemail.
Deal with queries and promptly brief CEO.
Ensuring director level customer service issues are recorded and actioned appropriately.
Gather Reports and Presentations:
Complete research as and when required.
Type minutes when needed and distribute accordingly.
Produce (from Directors draft) and edit PowerPoint presentations to a high standard
Compile information for reports including using excel to compile data to agreed templates.
To undertake any specific projects as requested.
Office Management:
Maintain and replenish office stationery and supplies.
Liaise with Facilities when necessary.
Liaise with IT department when necessary.
Assist with the planning of office moves if required.
Coordinate induction training, desk allocation and materials for new starters working for the CEO.
Tracking and Logging CAPEX items using agreed financ e process.
Customer Service:
Meet and greet CEOs guests at reception.
Act as a professional point of contact at all times for internal and external contacts.
Demonstrate the CPW five fundamentals in behaviour and approach to work.
Pro-active approach to work in order to provide excellent EA service as an individual and as part of the wider EA team
Demonstrate responsiveness and ability to execute accurately to ensure requests are dealt with in an efficient manner.
Manage multiple tasks and meet deadlines.
Problem solve issues before escalating to CEO where appropriate.
HR and Financial Administration:
Manage absence trackers for Directors department.
Complete all HR Forms and administration relating to CEO and direct reports.
Co-ordinate 1:1 PDR meetings for CEO direct reports.
Help organise inductions for new starters working for the CEO.
Complete expenses forms on behalf of CEO.
Miscella neous:
Manage some personal correspondences on behalf of CEO. (Family)
Organise activities for CEO that are not directly related to CPW (i.e. government and wider business meetings).
Itinerary management for CEO visitors.
Skills & Experience
Essential
5 years experience as an EA.
