Excellent opportunity has arisen for an experienced Administrator to join well established business in Swanley, Kent.
This role is being recruited to cover maternity leave therefore initially the position is a 13 month contract commencing May 2012.
The purpose of the role is to provide a high level of administrative support and coordination to the Business Support professional staff and to their customers who may be in-house, on-site, or at client locations.
Specific Duties
General administration.Monitor staff movements and ensure holidays and absences are recorded accurately and attendance records sent to Health & Safety Manager in a timely manner.Maintain the Health & Safety, Environmental and Quality filing systems, coordinating electronic and hard-copy documents.Create and format information in Word, PowerPoint, Excel, and in the approved flowcharting application, as required.File and maintain information on Openspace.Prepare external correspondence in Company format.Provide support to and assist the Health & Safety, Environmental and Quality team in connection with specific tasks, as necessary, and other general office duties.Arrange department meetings and produce minutes.Organise Health and Safety and Environmental training following the Health and Safety and Environmental training programme.General word processing and formatting of management system information/documents using pre-defined templates.Arrange translation of documents into other languages and Braille.Maintain content of Intranet under the Management Systems and Performance tabs.General word processing and formatting of presentations, typically for training or sales purposes, using pre-defined templates.Production of process maps in pre-defined formats.Recycling, amendment and issue of controlled documents. Data input.Support for company document template/style training and mentoring of individual document producers, including document updates.Must have a solid Administration support background including excellent working knowledge of MS Office. Experience of MS Excel to an intermediate level essential. Excellent communication skills and the ability to prioritise workload required.
Hours: Monday - Friday 9am - 5.30pm
On site car parking provided.
Contract start date: May 2012
Duration: 13 months
Salary: 18,000
