We are looking for a Receptionist to manage the front desk and act as first point of contact for all existing and potential clients for our newly refurbished Business Centre in Primrose Hill. This is a fantastic opportunity for an experienced Receptionist who is looking to develop their skills and experience further with a view of working for a young and fast-growing company with good growth and career prospects.
THE ROLE: TASKS & RESPONSIBILITIES
The role of the Business Centre Receptionist is quite varied and involves working with Management in a wide variety of administrative tasks as well as working to ensure our clients and tenants requests are fulfilled. The Receptionist will act as the Business Centres first point of contact for our clients and visitors and must be available at Reception at all times (or ensure cover is available). The role involves a great degree of customer interaction and multi-tasking handling queries and requests on the telephone, via email and face to face whilst managing a busy front-office Reception area. Occasionally you will provide tours and give presentations to potential clients so a confident outlook coupled with strong persuasive skills would be desirable. You will be expected to fulfill but not be limited to the following tasks:
+ Meet and greet all visitors and clients in a warm and friendly manner, providing beverages and notifying clients of their arrival.
+ Collect incoming & outgoing mail and distribute as necessary.
Personalized Telephone Answering of all incoming calls, message taking, call forwarding and relaying of messages for the Vineyards and our clients.
+ Fulfill client requests which may include letter-writing & dictation, audio-typing, data-entry, booking taxis, flights or hotels, ordering stationery, route planning and other secretarial/administrative tasks.
+ Assistance in accounting functions including invoicing and purchase ledger. Work closely with the Business Centre Manager administration officers to ensure a smooth running of assigned administration tasks. Administration of centre finance including month end closing, billing processing, debt control and reporting. Ensure all email and telephone enquiries are replied to promptly. manage database spreadsheets, Assisting with Marketing initiatives ADMINISTRATION
+ Responsible for centre maintenance, liaise with external suppliers to ensure that all services are operating as usual.
+ Assist with new clients moving into or departing from the centre fulfilling all the necessary procedures including inventories of telephones and furniture.
+ Assist clients in booking meeting rooms and ensuring all bookings and meetings are recorded correctly in order for invoices to be raised. Set up and support meeting room service requests and video conferencing facilities. Ensure the Meeting Room is clean and tidy after client use.
+ Handle any complaints politely, promptly and effectively using initiative and/or escalating them to a senior member of the team if required.
+ Be responsible for ensuring adequate stock of stationary/pantry items and making sure these are always readily available.
+ Ensure that all business machines within our Document Centre are in good working order with all document services operating efficiently and helping clients with their copying, printing, laminating, binding and faxing needs.
SKILLS & KNOWLEDGE REQUIRED
The ideal candidate will have a proven background within office management who enjoys working in a fast paced customer facing environment and is deeply customer focused with a strong desire to provide clients with an exceptional and professional service. The Business Centre Receptionist is the face of the Centre and thereforeit is paramount that a professional image is portrayed to clients, visitors and prospective clients alike at all times. He/She will need should be very well presented, approachable, welcoming with a flair of establishingvery good working relationships with clients. Previous experience as a receptionist is essential for this role and ideally within the property industry. Candidate must have excellent communication skills, be fluent and articulate in spoken English and be computer literate with a good working knowledge of Microsoft Office.
