Luto Research specialises in improving patient communications so thatpatients can make better informed decisions about their own healthcare. We work throughout the EU and have a close understanding of the legislative framework with respect to patient information for both licensed medicines and medical devices.
We are looking for a Business Administrator to join our growing team. The objective of this position is to:
To provide administrative support to the Senior Management Team and ensure the smooth operation of the administrative aspects of the business through office management.
To coordinate and facilitate the operation and maintenance of the Quality Management System in keeping with lutos ISO 9001 certification.
Responsibilities:
Provide support to the Senior Management Team
Act as receptionist for the organisation, handling telephone enquiries and welcoming clients and visitors
Attend and participate in meetings
Schedule own workload to meet agreed time lines
Work closely with all staff
Take on internal initiatives
Ensure data accuracy, initialling and dating of documents etc.
Provide cover for colleagues during busy periods or times of annual or sick leave
Maintain Quality Systems i.e. deviations and customer satisfaction, master document list, as well as other information indexing media
Perform document control operations including procedure updates when required
Perform Quality audits
Produce Quality metrics
Co-ordinate and facilitate the completion of deviations and audits
Suggest and implement quality initiatives, with particular attention to continuous improvement
Maintain records
Develop and maintain appropriate systems for the management of data
Keep client records up to do date
Organise meetings, functions, travel etc. as required
Conduct office filing and archiving
Ordering and monitoring of stationery and other non-stock items
Organise and manage IT requirements
Business management / improvement projects, as assigned
Developing and delivering agreed training sessions
Adhere to health and safety regulations and lutos policies and procedures
Education, Skills & Experience (Essential):
Educated to A Level standard or equivalent
Minimum 2 years experience in an administration role with evidence of direct reporting into Senior Managers
Computer literate with Windows and Microsoft Office applications
Able to plan and organise schedules and systems
Pays good attention to detail
Report writing, editing long documents and minute taking
Effective filing and bring forward skills
Able to plan and organise systems
Events and meetings planning
Excellent verbal and written communication skills including an ability to liaise with Senior Management
Able to work unsupervised with own initiative
Able to work under pressure, allocate priorities and meet deadlines
Able to work effectively as part of a team
Willingness to undertake further training
Education, Skills & Experience (Preferred):
Previous experience of working in an ISO 9001 or other QMS (quality management system) environment
Previous experience of working in a health related or market research environment
Previous experience in a client services environment
Has experience of performing audits
Shorthand skills
Audio transcription skills
